Why contractors use it

Your P&L tells you what happened. It doesn’t tell you what you need.

Without OpVitals

  • —Monthly reports arrive weeks after the month closes.
  • —Revenue looks strong, so a slipping margin goes unnoticed.
  • —The real number you needed shows up on the tax return.

With OpVitals

  • ✓A revenue target for every layer of cost, recalculated as your books change.
  • ✓Year-to-date pace with the weekly dollar cost of falling behind.
  • ✓The exact cost line that moved, traced to the vendor bills behind it.

Four revenue targets

One question, four layers: how much revenue does this year need?

Each target is the fixed costs it has to cover, divided by the gross margin you are actually earning. Each layer adds the next obligation, so you can see exactly which one you’re falling short of.

When margin slips, every target rises. In the sample, a four-point margin slide raises minimum mandatory revenue by about $3.5M.

  1. 1

    Overhead breakeven

    $19.2M On track

Covers rent, office payroll, insurance, vehicles and every other fixed cost.

  2. 2

    Debt service

    $20.8M On track

Adds your loan and equipment payments, principal and interest.

  3. 3

    Minimum mandatory revenue

    $24.8M Behind

Adds what you need to take home, fund retirement and set aside as a cash reserve.

  4. 4

    Profit plan

    $37.3M Behind

Adds the profit you want the company to earn on top of everything else.

  5. Sample company figures at its year-to-date gross margin of 24%.

Pace alerts

Red flags while there’s still time to act.

01

Your books, synced through the day

OpVitals reads your profit and loss and balance sheet from QuickBooks Online and recalculates every target.

02

Every line checked against last year

Each job-cost and overhead account is compared with its share of revenue last year, so creep shows up early.

03

A dollar figure on waiting

Alerts name the account, the vendors behind it and what the gap costs per week. Email and text alerts are coming soon.

Four-year profit diagnosis

Find the profit hiding in your last four years.

We line up four years of your books, take your best year for every cost line as a share of revenue, and build an Optimal Year from your own results. The gap between that and this year is profit you have already proven you can earn.

Built for contractors

The numbers contractors actually run on.

Retainage view

Retainage receivable and payable shown apart from A/R and A/P, with the cash it ties up and its effect on days to collect.

Markup-to-margin translator

You price on markup. We show the markup that hits your target margin and the minimum bid that recovers overhead.

Labor burden check

Flags field payroll taxes and workers’ comp booked to overhead, which makes gross margin look better than it is.

Seasonal pacing

Slow Januaries are normal. Pacing can follow last year’s revenue curve so Q1 doesn’t raise false alarms.

Job margin ranking

Coming soon

Every job ranked by gross margin, with the ones below target flagged.

Surety readiness card

Coming soon

Working capital, net worth and the ratios a bonding underwriter asks for, with their four-year trend.

FAQ

Questions owners ask.

Something else? Ask us directly.

Does OpVitals change anything in QuickBooks?

No. OpVitals reads your profit and loss, balance sheet and chart of accounts. It never creates, edits or deletes transactions.

How long does setup take?

About fifteen minutes. You connect QuickBooks Online through Intuit’s sign-in, then confirm how your accounts map to job costs, overhead and debt. We flag accounts that look mis-posted so you only review the few that matter.

What is minimum mandatory revenue?

The revenue you need this year to pay all overhead, make your loan payments and still pay yourself, fund retirement and build a reserve, at the gross margin you are actually earning. If you are behind it, the business is not paying you what it should.

Who is OpVitals for?

Commercial and specialty contractors who keep their books in QuickBooks Online and want to know, before year-end, whether the year is on track. It works best with at least two years of history in QuickBooks.

How is my data protected?

You connect through Intuit’s own sign-in, so we never see your QuickBooks password, and you can disconnect at any time from QuickBooks. All traffic is encrypted in transit and connection tokens are encrypted at rest.

Can my bookkeeper or CPA use it?

Yes. The partner plan gives bookkeepers and CPA firms one view of every client file, with diagnostics they can deliver under their own name.

What would your number be?

Our sample contractor found $929K in four years of its own books. Book a diagnostic and we’ll find yours.
